Description

I have an exciting opportunity for an experienced, skilled and knowledgeable PA. The role will report directly into the Managing Director and will provide full administrative support to the Managing Director of a well-known business based in Chorley. The purpose of this role is to support the MD with the day to day running of the business, providing comprehensive and professional administration assistance to ensure the needs of the business are met. I am looking for someone who goes beyond their job description with excellent accuracy, attention to detail and the ability to prioritise are critical skills required to succeed. Managing your own workload, interfacing with key internal and external stakeholders and building strong relationships will be essential for success, alongside absolute discretion and confidentiality at all times.

• Opening & distribution of daily post for Development Team and MD
• Reception cover and organising of reception rotas when required
• Coronavirus Rota
• Meeting room set up/clearing
• Managing facilities
• Managing emails for self and MD
• Secretarial support for Development and MD
• Organising diary for MD – manual and Outlook calendar
• Organising travel & accommodation for Development team and MD
• Archiving for group once a year
• Updating introduction sheet and distributing and printing weekly
• Preparing weekly packs for MD
• Managing pool car (with reception)
• Completing and distributing weekly attendance sheet
• Recording and notifying holidays for Development & MD plus directors’ holiday
• Recording weekly attendance for department for HR
• Answering, screening and transferring calls – taking messages
• Preparing and distributing agendas for all regular meetings, chasing minutes and preparing paperwork for MD for those meetings
• Liaison with other departments re cheques/paperwork/invoices signed
• Managing stationery supplies with Reception
• Reports - preparing, typing and distributing – monthly
• Keeping up to date records of staff car leases
• Filing for MD (manual & electronic) – maintaining and managing all files
• Archiving MD filing once a year (April to March)
• Arranging catering as and when required
• Ordering diaries/stationary for the Chairman
• Compiling Christmas holiday spread sheet
• Organising charity days – Wear it Pink, Children in Need
• Trustee Meetings & Papers
• New Starter Induction Pack

Requirements for the role

10+ years' experience of working as an Executive Assistant or Personal Assistant proven at MD or CEO level
Profound experience with office management systems and procedures, as well as applications
Outstanding skills in MS Office other software applications and general IT skills
Strong organisational and time management skills
First class attention to detail
Excellent verbal and written communications skills
Confidentiality and discretion
Responsibility, integrity and professionalism
